Privacy Policy
In short: we collect the contact details you give us and a summary of your Books Health Check results so we can follow up with you. Files you upload are checked in your own browser and are never sent to us. If you connect QuickBooks, we read your transactions once to build your report, disconnect right away, and do not keep them. We do not sell your information.
Who we are
ClearBooks Firm LLC ("ClearBooks", "we", "us") is a bookkeeping firm based in Port Charlotte, Florida. This policy covers clearbooksfirm.com and the Books Health Check tool on it.
Information we collect
Details you give us
When you fill in a form on this site we collect what you enter: your name, email address, phone number, business name and type of business.
Your Books Health Check results
When a report is generated we receive a summary of it: your score, how many items each check found, the period and number of accounts covered, an internal estimate of cleanup effort, the language you used, and the page address. We do not receive your individual transactions.
Files you upload
A transaction file you upload is read and checked inside your web browser, on your own device. The file and the transactions in it are not transmitted to ClearBooks or stored on our servers.
QuickBooks Online data, if you choose to connect
If you click "Connect QuickBooks" and approve access on Intuit's sign-in page, our server uses that one-time permission to read:
- a list of transactions from your bank and credit card accounts for the previous 12 complete months, including date, type, name, description, account, category, amount and reconciliation status;
- the names and types of your accounts; and
- your company name.
This data is handled as follows:
- It is read once, to build your report. We do not create, change or delete anything in your QuickBooks company.
- Our access is revoked immediately after that single read. We do not keep the access tokens Intuit issues.
- The transactions are passed to your browser to display the report and are not stored on our servers or in any database.
- Our server logs record only technical details, such as the number of rows read, and not the content of your transactions.
You can also remove the connection yourself at any time from the Apps section of your QuickBooks Online account.
Information stored in your browser
To keep your place if the page reloads or Intuit's sign-in opens in another tab, the tool saves your contact details, language choice and, briefly, your report data in your browser's own storage on your device.
Advertising measurement (Meta Pixel)
This site uses the Meta Pixel, a tool from Meta Platforms (Facebook and Instagram), to measure whether our ads lead people to the site and to the Books Health Check. It records page visits and, when you finish a Health Check, a single "lead" event. It may set cookies and lets Meta receive technical details such as your browser, IP address and the page address. We do not send Meta your name, email, phone, answers, score, uploaded files or any QuickBooks data, and we have turned off Meta's automatic tracking of buttons and forms. You can limit this through your browser's cookie settings and your Facebook ad preferences.
Booking a call
Calls are scheduled through Koalendar. The details you enter there are handled under Koalendar's privacy policy and shared with us so we can meet with you.
How we use information
- To produce your Books Health Check report.
- To contact you about your results and our bookkeeping services.
- To answer your questions and schedule calls.
- To maintain, secure and improve this site and tool.
We do not use QuickBooks data for advertising, and we do not use it for any purpose other than producing your report.
Who we share it with
We do not sell or rent your information. We share it only with service providers that help us run this site, and only as needed for that purpose:
- Netlify, which hosts this site and stores form submissions.
- Intuit, when you choose to connect QuickBooks Online.
- Koalendar, for scheduling.
- Google, which provides our email and the fonts this site loads.
- Meta, which receives page-visit and Health Check completion events through the Meta Pixel described above, to measure our ads.
We may also disclose information if the law requires it.
How long we keep it
We keep your contact details and report summary for as long as we are in contact with you or you are a client, and delete them on request. Uploaded files and QuickBooks transactions are not kept by us at all.
Security
This site is served over an encrypted connection. Our QuickBooks credentials are stored as protected secrets with our hosting provider, and we limit what we collect so there is less to protect. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your choices
You may ask us to show you, correct or delete the information we hold about you, or to stop contacting you, by emailing alex@clearbooksfirm.com. You can clear the details saved in your browser by clearing this site's data in your browser settings.
Children
This site is intended for business owners and is not directed to anyone under 18.
Changes to this policy
If we change this policy we will post the new version here and update the effective date.
